Privacy Policy

This Privacy Policy explains how IrisTrackR (“Service”), jointly operated by Cogent Steps, LLC and STRADL LLC (together, “we,” “us,” or “Operators”), handles information in connection with the Service. It should be read together with our Terms of Service. For text messaging specifically, see our Messaging Policy.

1. Who operates IrisTrackR

IrisTrackR is jointly operated by Cogent Steps, LLC and STRADL LLC. For privacy questions, contact info@iristrackr.com.

2. Race-owned data

Race organizers (“Races”) own the event data they and their authorized users enter into or generate through IrisTrackR for their events—including participant registration details, emergency-contact information, medical and encounter records, aid-station data, and related operational information—subject to applicable law.

Races control how their data is distributed for event operations. We process Race data as a service provider to host, operate, secure, and support IrisTrackR for the Race. We do not claim ownership of Race participant or medical content.

3. Information we process

Depending on how the Service is used, we may process:

• Account and staff information for Race organizers and authorized users (such as name, email, role, and login credentials);
• Participant and event information provided by the Race or collected through race registration workflows connected to IrisTrackR;
• Emergency contact information, including name and mobile phone number, provided at race registration;
• Medical / encounter and aid-station operational data entered by authorized Race staff during an event;
• Technical and security logs (for example IP address, device/browser type, timestamps, and diagnostic data) used to operate and protect the Service.

Where text messaging is used, we may also process mobile phone numbers, consent records, opt-out requests, and related messaging metadata as described in our Messaging Policy.

4. How we use information

We use information to:

• Provide, maintain, and improve IrisTrackR for Races;
• Deliver transactional text messages where enabled, as described in the Messaging Policy;
• Support Race staff, troubleshoot issues, and secure the Service;
• Comply with law, regulation, and legal process;
• Enforce our Terms and protect the rights and safety of participants, staff, Operators, and the public.

We do not use IrisTrackR text messaging for marketing or advertising.

5. How we share information

We do not sell personal information. We do not release Race data to third parties for their own unrelated commercial use. We may share information only in these limited circumstances:

• With the Race and its authorized users, who control operational access and distribution for their event;
• With service providers who help us host, operate, secure, or support the Service (including messaging delivery where applicable), under obligations to use data only for those purposes;
• For legal compliance, including to respond to lawful requests, enforce rights, or protect safety;
• In a business transfer, such as a merger or acquisition involving IrisTrackR operations, subject to appropriate protections.

Operational contact practices focus on reaching the designated emergency contact and asking them to call the race operations center, rather than broadly disclosing participant medical details to unrelated third parties.

6. Retention

We retain information for as long as needed to provide the Service to the Race, meet legal obligations, resolve disputes, and enforce agreements. Races may have their own retention and records policies for event and medical documentation. Messaging-related retention is described in the Messaging Policy.

7. Security

We use administrative, technical, and organizational measures designed to protect information processed through IrisTrackR. No method of transmission or storage is completely secure; Races and users must also protect their account credentials and devices.

8. Your choices

• Text messaging: See the Messaging Policy for opt-out (STOP), help (HELP), and related choices.
• Race records: Participants and emergency contacts should contact the Race organizer regarding registration data, medical records held by the Race, or other event-specific requests, since the Race owns and controls that data.

9. Children’s privacy

IrisTrackR is operated for race organizers and authorized staff. We do not knowingly market the Service to children. Where a Race registers minors, the Race is responsible for obtaining appropriate consents and providing accurate emergency-contact information under applicable law.

10. Changes

We may update this Privacy Policy from time to time. The “Effective date” at the top will change when updates are posted. Continued use of the Service after an update means you acknowledge the revised Policy.
